Oyu Tolgoi in Mongolia is a copper-gold mine consisting of an open pit mine and underground development, processing plant and supporting infrastructure to produce high grade copper and gold concentrates. Oyu Tolgoi will utilise a Mongolian workforce that will be trained to effectively operate and maintain the processing plant. Oyu Tolgoi’s workforce is more than 94 per cent Mongolian.

The opportunity
We are looking for one (1) Superintendent Travel in our Personnel Travel department based in Ulaanbaatar.

The Superintendent Travel – Personnel Travel Department will be responsible and accountable for developing and executing the management of all travel related activities within the company and the project. This will include the management and review of the 3rd party travel agents and hotels and the safety approval of international airlines to be used by business travellers. Accompanying procedures, authorisations will also be a chief accountability of the Superintendent Travel.

The purpose of the Travel Team is to deliver measurable value to Oyu Tolgoi through driving the establishment or improvement of the travel service which includes site travel and other domestic and international travel, including all relevant visas. The overriding goal is to support operational activity through continuous improvement, improved HSE performance and savings to the bottom line. The Travel team will play an invaluable role as the Oyu Tolgoi Project scales up and transfers to an operational phase.

What the role entails

  • Manage and lead the team of professionals who will in turn manage a given portfolio (i.e. visas, airlines, hotels etc.)
  • Analyse the current and future requirements of Oyu Tolgoi LLC and develop plans for designated travel related activities to:
  • Ensure a risk assessment is in place for each category (visas, hotels, airlines) with accompanying mitigation measures.
  • Ensuring the update and effective communication of changes to on line travel system and new policies such as the company Travel policy and Visitors guide under a continuous improvement approach and any changes within Rio Tinto corporate travel policies.
  • Management of alternative charter companies if an overflow of travellers is expected.
  • Managing the specific visa needs (Mongolian, international, employment and residency) of travellers subject to Mongolian law.
  • Ensure the most cost effective travel is booked for staff, visitors and contractors (i.e. lowest possible fare)
  • Ensure that safety is at the centre of all travel related activities including the aviation auditing of current and potential suppliers and a review of Rio Tinto approved international airlines.
  • Ensure team attention to detail to ensure all manifests and travel related information is accurate and that all travel is submitted through the on line travel system. The aim is for a consistent, transparent process.
  • Ensure full transparency of pre-prepared evaluation criteria for all tenders/RFP’s for travel related suppliers.
  • Ensure the training and development of all Travel staff members and effective delegation of categories to each staff member over time (i.e. visas, hotels, airlines).
  • Actively promote safety awareness and safe work practices and compliance with safety management plans

What you will need for this role

  • Bachelor or higher degree in Tourism/Travel or relevant field
  • Travel, Aviation Safety and In-house Travel System and Legal knowledge, Mongolian history and culture awareness are desirable
  • Excellent leadership experience of 3+ years
  • Excellent analytical skills
  • Well-developed verbal and written communication skills both in Mongolian and English
  • Advanced MS Office Suite skills
