The opportunity

We are looking for one ( 1) Officer Technical Support in Oyu Tolgoi LLC – Mine Operations Department based at Oyu Tolgoi mine site with roster of 14 days on and 14 days off.

The purpose of this role is to provide services and support on administrative activities of the functional area in line with the company policies and procedures to achieve the team's objectives and targeted plan. Translate documents and other materials from one language to another following established rules pertaining to factors such as, word meanings, sentence structure, grammar, punctuation and mechanisms.

What the role entails

  • Provides secretarial/administrative support to manager, superintendents and supervisors, exercising confidentiality, tact and diplomacy;
  • Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc; may prepare responses to routine correspondence and inquiries;
  • Support onboarding of new employees and on-site support contract employees of the department and coach and mentor Administration Team of contractor company in onboarding crews.
  • Support and coordinate adminstrative processes in hosting visitors.
  • Receive visitors and employees and take telephone calls. Communicate courteously at all times and deal with issues professionally and promptly.
  • Complete routine checks of critical utilities (sewage, domestic water, power supply etc) and facilities and create maintenance notifications where required. Ensure that maintenance notifications are followed-up for timely execution.
  • Co-ordinate departmental meetings, conferences and workshops, and employees travel (domestic, international) and transport.
  • Work collaboratively with relevant teams within Camp and Site Service over allocation and management of accommodations of employees, and co-ordination of hot-meal services at Open Pit Office, office cleaning and site transportation.
  • Maintain awareness and application of relevant policies/standards and application of appropriate forms consistent with business needs with support from Human Resources and other business partner(s). eg EAP, Leave Forms and engagement with employees in a direct supportive relationship.
  • Work constructively and collaboratively with company Human Resources officers to apply common systems and approaches to: Payroll (Summaries/RTBS/Work Schedule Rules), Travel and Roster alignment with timely notification of any changes.
  • Work proactively and collaboratively with internal stakeholders to coordinate and contribute into recognition programs (Family Visit, OT Proud, Sectorial and State Awards etc).
  • Work constructively and collaboratively with MoC team and provide guidance where requried to change owners of the department to ensure change management is consistent.
  • Provide administrative and clerical support to the customer departments of Mine Operations Department.
  • Assist with management of documentation, records and files as per OT Document Control Management policies and procedures. File all incoming & outgoing correspondence.
  • Participate in the implementation of administrative standards, policies and practices for the organization.
  • Generate material reservations, and purchase requisitions for goods (PPE, consumables, grocery, stationery, tools etc) and services and ensure delivery of goods and services are managed with minimal delays. Co-ordinate goods delivery and pick-up from warehouse.
  • Translate documents and reports into English and Mongolian. Assist with interpretation as required.
  • Facilitate synchronized verbal translation as required for various business needs including - meeting, workshops, trainings etc.
  • Lead, contribute into various projects and initiatives as part of corporate and department priorities where required.
  • Perform other related duties as required.

What you will need for this role

  • Undergraduate or higher education obtained through degrees, diplomas or Trade qualification from appropriate college or universities.
  • 5+ years of Mine Operational or Maintenance scheduling and ideally experience in Front Line leadership roles
  • Analytical and problem-solving skills to provide data owners and leaders with data quality metrics and toolkits and to support data owners in addressing data management issues.
  • Advanced computer skills including proficiency in the use of Microsoft Excel and Office suite
  • To have personally demonstrate a positive attitude towards working safely.
  • Will be advantage of South Gobi citizen
