The opportunity

We are looking for one (1) Controller Document in Oyu Tolgoi LLC, Site Infrastructure and Services - Asset and Material Management department based at Ulaanbaatar. This is 1 year fixed term role.

Purpose of this role is to receive hand-over of all construction, equipment, and engineering documentations, SWP's during transition from Construction phase to Operations in accordance with Oyu Tolgoi LLC standard and requirements, so as to disseminate factual information to other departments, keep document control registers and integrate relevant file database by DMS. Being responsible for DCS operation, developing their manuals and training materials, and for providing other engineering documentation teams with accurate engineering drawings, documents, and associated files. To control SWP's and provide its support services in accordance with Company's policy and procesudure.

What the role entails

  • Provide document control services such as Distribution of controlled documentation and SWP's,TAG number via Incoming and Outgoing Transmittals;
  • Documents, equipment tag number, title, revision and status information, and verifying signatures are correct.
  • Checking and drawing the verification signature that must be present before the document equipment number is taken under control.
  • Control the daily loading of equipment number documents delivered by project management companies and suppliers into ALIM and EDM systems.
  • Load the main file into the Information Management System and create a converted file (including documents delivered by the Project Management Company);
  • Ensuring all documentation complies to OTLLC numbering and revision procedures;
  • Ensuring access rights and ALIM metadata is correct for both Parent and Rendition;
  • Revising the document/drawing and modifying metadata;
  • •Close control of MOC system close requests
  • Organize the SWP, ALIM and MOC systems' training and assist the system users with technical support when required
  • Uploading Standards and Procedures into ALIM and Leading a Project Documentation Handover and archiving;
  • Re-numbering of documents from different vendors into OT Document numbering codes with following uploading into DMS;
  • Complete or support team in delivering additional tasks or assignments as assigned by leaders"

What you will need for this role

  • Undergraduate or equivalent or higher education obtained through degrees or diplomas from academic college or universities.
  • Business Administration or a discipline relevant to the performing function
  • Relevant experience typically achieved through vocational trainings and equivalent practical experience or on-the-job training.
  • English competency (both written and oral) is essential.
  • Good computer skills including proficiency in the use of Microsoft Excel, Office suite and have ability to learn other similar programs
  • Excellent interpersonal and communication skills
